How to Add a New or Existing Crystal Report to a Menu in Sage MAS 90 or MAS 200

Sage MAS 90 and MAS 200 already come with a wealth of analytical reports as part of the standard package. With version 4.2 and beyond, you can also create variations of those standard reports or save the parameters for later use.

Those of you who are familiar with Crystal Reports may have created some of your own reports that you or others in your organization wish to access on a regular basis. You can of course open the report and run it directly from Crystal, but what if one or more of your workstations does not have the full version of Crystal installed? MAS will allow you to run a Crystal report without having the full version installed, but if you don’t have the full version, and the report is not on a menu, then access would have to be accomplished via Windows Explorer which is inconvenient at best.

For a better solution, you can add the Crystal Report to a menu in MAS! In fact, there is a folder reserved in each module for just this reason. In the illustration below, Accounts Receivable - Custom Reports is just such a folder.

Open up Report Manager from the Setup menu in Library Master.

Click on the <Add Report to Menu> button.

The first screen will be the “Welcome to the Menu Wizard”. Just click on <Next> to bring up the next screen.

1. Select the Module, in this case Accounts Receivable.
2. Enter the path and file name.

  • The file name must end in _custom.rpt
  • The total characters in the path and file name can’t exceed 30 characters.
  • Some of you may have mapped a drive to your MAS 90 folder, this can help shorten the path.
    You can also shorten the file name.
3. Enter the Report Name. This can be as descriptive as you like as long as it fits in the window’s field.

After filling out the Report Name, hit the tab or Return key and the <Next> key will enable. Click on <Next>.

You can select which Roles in Security you wish to grant access to the report.

Click the <Finish> button.

Close the Report Manager.

Your menus in MAS will update automatically. And your report is now available from the Accounts Receivable Custom Reports menu!
